Winter Compliance Checklist โ€” Are Your Systems Ready for the Next Audit?

A practical checklist for aged care providers heading into accreditation season.

Resident records  ยท  Incident reporting  ยท  Rostering compliance  ยท  Funding accuracy  ยท  What audit-ready looks like

Winter tends to bring a spike in activity for aged care providers โ€” more resident health monitoring, more incident reporting, more scrutiny on infection control. It's also, often, when the next accreditation audit lands. Here's a practical checklist for whether your systems are actually ready.

1. Can you produce a full resident record in minutes, not hours?

An auditor asking for a resident's admission history, care plan, funding status and recent documentation shouldn't require pulling files from three different places. If it does, that's the first gap to close.

2. Are incident reports logged and searchable in real time?

Paper-based or spreadsheet incident logs make it hard to spot patterns โ€” a repeated fall risk, a recurring medication issue โ€” until it's flagged in hindsight during an audit, rather than caught as it happens.

THE CHALLENGE

When documentation lives across paper files and spreadsheets, care teams spend time hunting for information instead of using it โ€” and audits become a scramble instead of a formality.

3. Does your rostering data hold up to scrutiny?

Accreditation increasingly looks at staffing ratios and care minutes delivered, not just rostered. If your rostering system can't show what was actually worked against what was planned, that's a gap worth closing before, not during, an audit.

4. Is your funding and Medicare claims data accurate and current?

AN-ACC funding accuracy depends on documentation that's current and consistent. Disconnected systems make it easy for funding-relevant information to lag behind what's actually happening with a resident.

What audit-ready actually looks like

Epicor Senior Living Solution (SLS) gives every resident a single, secure record โ€” admissions, care plans, services, funding and documentation โ€” with reporting aligned to AN-ACC and Australian aged care standards. SoftLabs is an Authorised Epicor Partner, delivering and supporting SLS for residential, home and community care providers across Australia and New Zealand.

What SLS brings together

โœ“ Single resident record โ€” admissions, care plans, funding and documentation in one place
โœ“ AN-ACC aligned reporting โ€” compliance workflows built around Australian standards, not adapted from generic software
โœ“ Mobile rostering and scheduling โ€” built for both on-site and remote home care teams
โœ“ Secure, cloud-based document storage โ€” policies, procedures and assessments accessible when an auditor asks
โœ“ Integrated billing and Medicare claims โ€” real-time financial data, not end-of-month reconciliation

BEFORE YOUR NEXT AUDIT

If any of the above took more than a few minutes to answer honestly, it's worth a conversation before your next accreditation cycle, not during it.
